How Aivexa Technologies Limited handles personal information.

Who we are

Aivexa Technologies Limited is the data controller for the information described in this notice. We are registered in England and Wales under company number 17435305, with a registered office at 62A Station Road, North Harrow, Harrow HA2 7SJ. For any privacy question, email hello@aivexatech.co.uk.

What we collect

  • Enquiry details. When you submit the contact form or email us: your name, company, email address, phone number, team size and whatever you write in your message.
  • Client records. If you become a client: contact details, billing information, and the correspondence needed to deliver the work.
  • Technical data. Our hosting provider records standard server logs, including IP address and browser type, to keep the site available and secure.

Why we use it and our lawful basis

  • To respond to your enquiry and prepare a proposal — legitimate interests, and steps taken at your request before entering a contract.
  • To deliver services you have engaged us for — performance of a contract.
  • To meet accounting and tax obligations — legal obligation.
  • To keep the website secure — legitimate interests.

We do not send marketing email unless you have asked us to, and you can stop it at any time by replying and saying so.

Sub-processors

We use a small number of service providers who process data on our behalf, each bound by contract to act only on our instructions:

  • Our website hosting provider, for serving this site and its server logs.
  • Our form-handling provider, for delivering enquiries submitted through the contact form.
  • Our email provider, for correspondence.
  • Our accounting software provider, for invoicing and statutory records.

We do not sell personal information and we do not share it with advertisers. Where a client engagement involves any further third party, including an AI provider, it is named in the proposal before work begins.

Some providers may process data outside the UK. Where that happens, transfers are covered by the UK International Data Transfer Agreement, the UK Addendum to the EU Standard Contractual Clauses, or an adequacy decision.

Client data during a project

If we are given access to systems containing personal data belonging to your customers or staff, we act as a processor on your behalf. That work is governed by a written data processing agreement covering purpose, security, sub-processors, retention, deletion and breach notification. Our access is removed at handover unless you have retained us for ongoing support.

Where a deliverable sends data to an AI provider, we use business or enterprise tiers under which customer data is contractually excluded from model training, and we set that out in writing before anything is connected.

How long we keep it

Enquiries that do not become work are deleted within 12 months. Client records are kept for six years after the end of the relationship, in line with UK accounting requirements. Server logs are retained for a short period by our hosting provider.

Your rights

Under UK GDPR you can ask for a copy of your data, ask us to correct or delete it, object to or restrict how we use it, and ask for it in a portable format. Email hello@aivexatech.co.uk and we will respond within one month.

If you are unhappy with our response, please tell us first at complaints@aivexatech.co.uk so we have the chance to put it right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
